New Google tool: Easily migrate emails from Exchange Online to Gmail
In Data Migration for Workspace, admins can now find a new tool that allows them to easily copy their users' emails and calendars from Microsoft.

With a new Google tool, administrators can now migrate their users' emails directly from Microsoft Exchange Online to Gmail. The prerequisite on the Google side is access as a Workspace Super Admin and at Microsoft, the person responsible must be a Teams Entra administrator. The migration tool is available for commercial Workspace licenses such as Business, Enterprise, and Education.
Few settings required
Google states that only a few clicks are required for a migration: In the Workspace admin console, administrators must first specify and connect the affected Exchange Online tenant. If you want to transfer the data of several users, you can upload a CSV file with the old and new email addresses here. Those responsible can find out how to format this CSV file in a separate support article on Google.
Further settings can then be specified for the desired migration: a time period for the affected emails, whether deleted messages and those from the spam folder should also be copied and whether the tool should also capture identities not specified in the CSV file. The migration service can also transfer calendars, although the function is still in a beta phase. Here, administrators can specify whether calendar information should also be copied – and how any secondary calendars should be handled.
The tool then carries out the migration, which can optionally be a delta migration. In this case, the service only copies emails from Exchange that are not yet in Workspace. Google can currently transfer the data of up to 250 users simultaneously. Finally, the administrator receives a report that also contains details of any errors.

Further data migrations
The tool is part of the data migration service for Workspace. In addition to Exchange Online, Exchange Server 2003, 2007, 2010, 2013 and 2016 emails and private Gmail accounts can also be transferred. A generic IMAP option is also included, which requires a little more manual effort from administrators. Google has provided suitable information on popular webmail providers in a support article. The data migration service for Workspace also includes tools for chat messages from Microsoft Teams, as well as files from SharePoint and OneDrive.
However, the reverse process is much more complicated: although Microsoft offers detailed instructions for transferring emails from Google Workspace to Microsoft 365 –, it requires significantly more work from the administrator concerned.
